Job Details

We are currently working in partnership with a large and welcoming secondary school in Newcastle to recruit a finance assistant to join their fantastic office team. Full job specification can be found below, please don't hesitate to get in touch if you would like any further information.

To support the finance team in ensuring goods are ordered and received by the School and invoices processed effectively and efficiently.
To assist in the monitoring of budgets and liaise with budget holders as directed by the Director of Finance.

Duties would include but be limited to:

  1. To receive goods/services requisition forms from budget holders, check for completeness, post onto SAGE 200 financial database, print and place order.
  2. To receive all delivery notes and record deliveries against orders onto SAGE 200.
  3. To receive invoices, match against deliveries and orders and post onto the system. Checking invoices for accuracy and validity. Ensuring that delivery has been made with budget managers where no delivery note exists.
  4. To receipt and enter into Schools Cash Office/SAGE 200 all income relating to the school’s funds.
  5. To scrutinise suppliers’ statements and reconcile to SAGE 200.
  6. To deal with financial correspondence, internal and external post and telephone queries from other organisations.
  7. To produce sales invoices as required.
  8. To assist schools / parents with the online payment system (currently SIMSPay)
  9. To ensure all amounts receivable are banked intact
  10. To maintain the financial accounting department filing system (electronic and paper based).
  11. Contribute to the development and maintenance of financial records / information systems.
  12. To produce monthly accruals and prepayments spreadsheets.
  13. As required work with budget holders in the selection and management of resources, to ensure best value for money.
  14. Provide budget holders with reports on request.
  15. Undertake research and obtain information to inform decisions.
  16. To undertake any other administration tasks required by the CEO or Director of Finance.
  17. Promote the safeguarding and welfare of the children and young people the post-holder is responsible for; or comes into contact with.
  18. To promote and implement the Trust’s equal opportunities policy in all aspects of employment and service delivery.


Part A: Application StageThe following criteria (experience, skills and qualifications) will be used to short-list at the application stage:

Essential
1.Evidence of effective literacy and numeracy skills, e.g. GCSE A*-C (4-9) in Mathematics and English or equivalent or be able to offer evidence of commensurate experience.
2.Proven experience in a financial or administration role.
3.Excellent ICT skills, including use of Word, Excel and Email.
4.Ability to input data and maintain computerised and manual financial systems.
5.Ability to process and analyse information and produce reports with accuracy.
6.Ability to identify work priorities and manage own workload to meet deadlines whilst ensuring that lower priority work is kept up to date.
7.Ability to work effectively as team member.
 
Desirable
8.Association of Accounting Technicians (AAT) qualification, or working towards.
9.A basic knowledge of the financial workings of a school/trust.
10.Experience of SAGE200 or other accounting software.

Part C: Additional Requirements
The following criteria must be judged as satisfactory when pre-employment checks are completed:
 
1.Enhanced Certificate of Disclosure from the Disclosure and Barring Service including Children’s Barred List Check
2.Additional criminal record checks if applicant has lived outside the UK
3.Medical clearance
4.A minimum of two references from current and previous employers (or education establishment if applicant not in employment)

Terms and Conditions
 
The conditions of service applicable to this post are the National Joint Council for Local Government Services Conditions of Service (known as ‘the Green Book’) as amended/supplemented by local decisions made by Kenton School Academy Trust.
 
Salary
 
The grade of the post is N4, equivalent to local government pay spine points 3 -4 , with current corresponding full time salary of £18,795 to £19,945 pa, pay award pending.  Progression through the grade is by annual increments on 1 April each year.  Where 1 April falls within the six month probationary period, the increment is delayed and paid the month following successful completion of the probationary period.
 
Working Hours
 
The working hours for this post are 37 hours per week.  Normal working hours are Monday to Thursday 8 am to 4 pm and Fridays 8 am to 3.30 pm with a 30 minute unpaid lunch break each day.
